Ordering

Prima Fleur accepts all orders in writing submitted by email sales@primafleur.com , fax at 415-455-0956 or post.

Please call or email for preauthorization and an order form.To expedite the preauthorization process, you may print a copy of the General Resale Certificate and fax to 415-455-0956. This form is necessary to ensure we are entering a business-to-business transaction and therefore able to waive California State Sales Tax.
Please clearly mark the part #, price, qty, shipping address, contact info & payment method on your order form so we can process expeditiously.
You will receive a confirmation of your order within 24 hours.
Review & confirm the order acknowledgment by return email or fax.

Additions and edits to your original order will delay the processing.

We encourage sampling prior to purchasing- especially hydrosols.
Ask your Prima Fleur sales rep about our Sample Program.

Prima Fleur minimums for ordering:

Level 1 = $150 – Premiere products off the shelf – no changes
Level 3 = A/Q- Customized premiere products or fully customized formulas

Backorders

If placing an order by fax or email directly to Prima Fleur we will process the order as completely as possible within 1-2 weeks. If we are not able to fill it completely we will ship a partial order. We will contact you regarding shipment of your backorder.
The customer is responsible for all shipping & handling costs including backorders.

Payment

Please provide payment method at time of order.
We accept Discover, American Express, Visa & MasterCard.
Credit cards will be charged at time of order for online orders.
Credit cards will be charged at time of shipping for in house orders.
A $20.00 charge will be incurred for declined credit cards.

We do not offer C.O.D.
Net 30 days payment is available with approved credit.

Shipping and Handling Charges

All orders are shipped F.O.B. San Rafael, CA 94901
Customers are responsible for all shipping & handling costs.
Our standard method for shipping is UPS Ground service.
If you provide an account number, we will arrange shipments through DHL, FedEx Expedited & Freight, UPS Freight, etc.
You are welcome to arrange pick-up by truck, personal car, etc.
Please call 24 hours in advance before arriving.

If you prefer shipping through United States Postal Service we can arrange your shipment. A credit card must be provided at time of order and a waiver of liability signed. We are not responsible for shipments made through this method. The shipping charge will be added to your invoice including handling.

A handling charge of $2 per box will be added to your invoice.

Sampling Program

Qualified customers may sample five of our premiere products, essential oils and blends at no charge. Additional samples can be purchased at $3 each, with a maximum of 10 samples per order. For exclusive oils such as rose, neroli, white lotus and sandalwood, samples are $5.00 each. We do not provide samples of all products in our line at any one time. Ingredient and information sheets on each product will be provided with samples.

For additional samples of Essential Oils and Blends, the minimum size offered may be purchased.

All sample orders will be sent at no charge by UPS Ground.

Returns

We stand by our products 100%. Should a return be necessary please contact Prima Fleur for a required pre-authorization. (415) 455-0957

We do not accept returns on hydrosols. Please sample prior to purchasing.

A fee of $25.00 or 10% of order (whichever is greater) will be charged unless the return or cancellation was a result of our error.

Formulation Fees include:

Lab time and raw materials for first three sample submissions of a Custom Product and/or Custom Blend. This includes UPS Ground shipping. The client can receive multiple samples (up to 12) for each round to be tested within their focus group or evaluation team.
Lab time for samples of a product after the above amount of samples will be billed at $250.00 per hour lab time plus shipping costs.
Ingredient list using CTFA or INCI names of materials used in the Custom Product in order of strength by percentage for use on label.

Any written material available at Prima Fleur for use with marketing or training and write-ups on specific raw materials used in their custom formula.
Packaging sources will be offered if we are developing a finished Custom Product(s) along with correct storage container materials and package sizes.
Prima Fleur will conduct freeze/thaw & elevated temperature tests on site. We will provide fill levels in fl oz &/or weights for proper labeling. We send out for microbiology testing (yeast, mold & bacteria) for each batch of product we manufacture. We can assist the client in the process of additional off-site testing for ocular, RIPT/PATCH, stability/challenge, etc.

Private Label and Custom Product Terms

Custom Manufactured and Private Label Products (including Custom Blends) require a 50% Custom Order Deposit for each order. All Purchase Orders must be submitted to Prima Fleur in writing with a PO number, PFB Code, Sample Code, Qty & size of units, bill to & shipping information.
When an order is placed, Prima Fleur will FAX OR EMAIL a Deposit Invoice to the customer indicating the amount required for the 50% Custom or Private Label order deposit. When the deposit is received with a signed quote & client supplied packaging, labels, etc. production will be scheduled to begin as soon as possible. Allow 4-8 weeks from receipt of deposit for Prima Fleur to have all ingredients assembled, production to be scheduled, and production completed. Prima Fleur will make every effort to complete production in this time frame. Allow extra time if you have not submitted all packaging needed to complete production.
The balance due on the order will be determined after production is complete. The Deposit Invoice will be updated to a FINAL invoice to reflect the actual units/lbs produced and the shipping and handling charges will be added if applicable. The Deposit will be subtracted from this total and the balance will be due as agreed. The balance on all first time Custom & Private Label orders will be due prior to shipping. Terms may be extended for subsequent orders if credit has been approved.
All shipping charges, insurance, and handling charges are paid by the customer and added to the Final Invoice. A customer can submit a shipping account number for freight charge but handling charges will be added. Drop Shipping or Split Shipment charges are $25/per location. See AdditionalServices for regulatory and export documentation fees. Each Shipment will have an official Packing Slip enclosed.
Standard shipping is by UPS Ground. We also offer FedEx and DHL with a customer-supplied account number. All Freight/common carrier shipments to be consigned by the customer.
The formulas remain the confidential property of Prima Fleur Botanicals, Inc. The customer, upon paying the developmental fee and approving the Custom Product(s) will retain the exclusive right to that formulation so long as Prima Fleur Botanicals, Inc. produces the product. If a particular Custom Product is not produced by Prima Fleur within any 18 consecutive month period, the exclusivity right is forfeited.
Developmental Fees are non-refundable and non-transferable.

Additional Services and Fees

Prima Fleur offers the following additional services:

Drop Shipping:

To split an order and sent to separate locations or to expedite a partial order is $25.00 per location/split.
This fee will be added to the final invoice.

Partial Order filling/fulfillment:

We will expedite a partial custom manufacture or private label order by doing a partial fill, only after we review the request and agree to a new adjusted minimum. The charge for a partial fill is $150/occurence. The client will be billed for the shipped units plus this charge, and are responsible for any shipping & handling costs.

Component Warehousing:

We offer free warehousing of components for orders that are placed within a year’s time. After one year, if the stored components have not been used in production, the fee for continued storage is $250/month per component type.
**At anytime, we will prepare the components to be shipped back to you. Any shipping & handling charges or additional inventory checks will be charged to the client.

Component Inventory:

Prima Fleur will receive components and issue a Component Confirmation after receipt. We conduct a physical yearly inventory of all component storage. If additional physical inventory checks are required, please submit a request in writing. The charge for this service is $100-$300 depending on the amount of components.

Packaging

Essential oils are shipped in amber Boston Round glass bottles.
The 8, 16, and 32 oz bottles are shipped in individual styrofoam containers for added safety and protection.
5 ml (1/6 oz) and 10 ml (1/3 oz) sizes will have tamper evident caps with orifice reducers for measured drops.
All sizes will be labeled with our standard generic Prima Fleur label.
If specified, all sizes can be labeled for retail with our attractive Prima Fleur label.
Bulk orders of larger volumes are packaged according to the customers needs.
